Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth, ensuring a positive first impression.
  • Handle multi-line phone systems with confidence, directing calls accurately and courteously while maintaining proper phone etiquette.
  • Manage calendar schedules, appointments, and meetings using Microsoft Office and Google Workspace tools, ensuring timely reminders and updates.
  • Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
  • Support office management duties such as supply inventory, equipment maintenance, and general organization of workspaces.
  • Provide exceptional customer support by addressing inquiries promptly and professionally, both in person and via phone or email.

Skills

  • Proven experience with office management, clerical tasks, and administrative support roles.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively while managing time efficiently.
  • Bilingual abilities are highly desirable to assist diverse client needs and enhance communication within the team.
  • Experience in handling multi-line phone systems, phone etiquette, and front desk responsibilities.
  • Knowledge of bookkeeping software such as QuickBooks is a plus for supporting financial transactions.
  • Demonstrated ability to proofread documents meticulously and maintain high standards of accuracy.
  • Previous experience as an Office assistant in Property Management is advantageous for understanding specialized workflows.
