Office Administrative Assistant/ Billing Coordinator

Overview
The Office Administrative Assistant/ Billing Coordinator serves as the first point of contact for clients while also supporting the practice’s billing and revenue cycle processes. This individual helps ensure that clients receive a seamless experience from their first inquiry through ongoing treatment while maintaining accurate billing, insurance verification, claim submission, and payment collection processes.

This position is ideal for someone who enjoys both customer service and administrative operations and who understands the importance of accuracy, professionalism, and confidentiality in a mental health care setting.

Essential Responsibilities:

Client Relations & Scheduling

  • Answer incoming calls and respond to inquiries.
  • Schedule intakes and ongoing appointments.
  • Coordinate referral placement with clinicians.
  • Send and monitor intake paperwork.
  • Follow up with prospective clients regarding onboarding requirements.
  • Maintain clinician schedules and availability.

Billing & Revenue Cycle Support

  • Submit insurance claims in a timely manner.
  • Monitor claim status and identify denials or rejections.
  • Assist with correcting and resubmitting denied claims.
  • Collect copays, deductibles, and outstanding balances.
  • Process client payments.
  • Assist with payment plans when appropriate.
  • Verify insurance benefits and eligibility.
  • Review Explanation of Benefits (EOBs).
  • Maintain accurate billing records.
  • Communicate professionally with insurance companies regarding claim issues.

Administrative Operations

  • Monitor agency email inboxes.
  • Maintain client records and documentation.
  • Assist with office organization and inventory.
  • Coordinate workshop and event registrations.
  • Support community outreach efforts.

Preferred Qualifications:

Required

  • High school diploma or equivalent
  • Strong administrative and customer service experience
  • Excellent organizational skills
  • Ability to handle confidential information
  • Experience working in a medical, behavioral health, or private practice setting

Highly Preferred

  • Familiarity with insurance verification and benefit checks
  • Knowledge of behavioral health billing processes
  • Experience submitting claims through clearinghouses such as Availity
  • Experience working with Medicare, Medicaid, and commercial insurance plans
  • Familiarity with EHR systems
  • Bilingual English/Spanish a plus

Compensation Factors

  • Mental health billing experience
  • Insurance credentialing knowledge
  • Revenue cycle management experience
  • Medical office administration experience

Pay: $24.56 - $29.57 per hour
