About Us:

We are a prominent importer, trader, and manufacturer specialising in rubber raw materials

and products. Headquartered in Bhiwadi, we operate across multiple facilities located in

Ghaziabad, Gurgaon, and Bhiwadi.

Job Summary:

We are seeking a proactive and detail-oriented Strategic Operations Executive Manager to

establish and manage office operations from inception. In this dynamic role, you will be

responsible for creating efficient processes, organising resources, and ensuring the seamless

functioning of the office. Your contributions will be pivotal in building a strong foundation

for our organisation.

Responsibilities/Tasks:

1) Process Optimization & Administration :

• Plan, streamline, and coordinate processes across HR, Accounts, Admin, Attendance,

Housekeeping, Salary, and Guard Coordination, etc

• Develop and implement SOPs and poka-yoke systems using Excel/word/tech.

software, ensuring compliance and efficient workflows.

• Improve reporting accuracy, maintain performance trackers, and oversee daily

warehouse/admin operations.

• Prepare tender documents, maintain MIS and records for analysis, and support

procurement through vendor negotiations.

2) Reporting & Documentation :

• Prepare, format, and edit reports, presentations, correspondence, and documents

with accuracy and timeliness.

• Maintain systematic and secure records and confidential files (both electronic and

paper).

• Conduct research, compile data, and submit summary reports with actionable

insights.

• Propose and implement new processes and ideas to enhance organizational

efficiency.

3) Executive & Personal Assistance :

• Manage MD’s schedule, appointments, travel, and daily coordination across sites.

• Screen/respond to calls, emails, and inquiries; take crisp notes of MD’s directions

and meeting minutes.

• Accompany MD to office, factory, and vendor/client visits; assist with personal tasks

like reservations, errands, etc.

• Draft, proofread, and handle confidential communications with discretion.

4) Communication & Coordination :

• Act as liaison for internal teams (Accounts, Production, Admin, HR) to prioritize and

follow up on tasks.

• Coordinate meetings, conferences, and events – handling logistics, materials, and

follow-ups.

• Serve as point of contact for staff coordination, resolving inquiries, and escalating

issues when necessary.

Qualifications and Requirements

1. Education: Min. Bachelor's degree

2. Experience: Min. 2 - 3 years in a similar role

3. Academics: Minimum 80% / 8.0 CGPA in 10th, 12th & Bachelor's

4. English Proficiency: Excellent in reading, writing & speaking

5. Typing Speed: 45+ WPM with 90%+ accuracy

6. Note-Taking: Fast and clear note-maker

7. Work Speed: Quick and efficient

8. Tool Proficiency: Advance MS Office, design tools, tech & productivity tools

9. Detail-Oriented: Strong logical and analytical skills

10. Quick Learner: Grasp tasks/problems and come up with a solution rapidly.

11. Multitasking: Efficient and process-focused mindset

12. Professionalism: Confident and accountable

13. Process Development: Experience in setting up internal processes & filing systems

14. Organiza5onal Skills: Highly structured and organised

15. Training: Able to train others on processes Effectively.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹35,000.00 per month
