Job Title: Office Administrator

Reports To: General Manager & Managing Director


About the Role
We are looking for an experienced and transformative Office Administrator to oversee all administrative systems, workflows, and office personnel. This pivotal role will ensure seamless cross-departmental collaboration, efficient processes, and continuous operational improvement.


Key Responsibilities

  • Office Administrative System Management
    Optimize workflows for document management, communications, scheduling, and procurement.
    Develop and implement detailed SOPs for departments and inter-departmental handoffs.
    Establish and enforce office policies, compliance standards, and security protocols.
  • Team Building & Hiring
    Define staffing needs and roles for administrative personnel.
    Lead the full hiring cycle including job descriptions, screening, interviews, and onboarding.
    Supervise, train, and evaluate administrative staff performance.
  • Systems & Infrastructure
    Implement and manage office productivity tools, ERP/CRM systems, and physical infrastructure.
    Oversee office budgets, vendor contracts, and resource allocation.
    Maintain proper organization and security of office spaces and assets.
  • Performance Monitoring & Improvement
    Define and track KPIs for administrative efficiency (e.g., process cycle time, error rates, cost per task).
    Present performance reports to executive management.
    Drive continuous improvement initiatives through data-driven insights and stakeholder feedback.
