Job Summary
We are seeking a dynamic and highly organized Office Administrator to streamline daily operations and ensure the smooth functioning of our office environment. This vital role involves managing administrative tasks, coordinating schedules, overseeing vendor relationships, and supporting team members across various departments. Duties

  • Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication.
  • Manage scheduling for meetings, appointments, and events, ensuring calendars are up-to-date and conflicts are minimized.
  • Coordinate vendor relationships, including negotiating contracts, managing supplies, and ensuring timely deliveries.
  • Support human resources functions such as onboarding new staff, maintaining employee records, and assisting with training & development initiatives.
  • Handle bookkeeping and basic accounting tasks using QuickBooks or similar software, including invoicing, expense tracking, and payroll processing.
  • Organize files and maintain accurate filing systems for medical or general office records.
  • Assist with event planning for company functions or community outreach activities to promote engagement and team building.
  • Supervise administrative staff or interns as needed, providing guidance on office procedures and best practices.
  • Ensure adherence to phone etiquette standards and foster a professional environment at all times.

Experience

  • Proven experience in office administration or management roles within a professional setting.
  • Demonstrated supervisory experience with the ability to lead and motivate team members effectively.
  • Proficiency in QuickBooks for bookkeeping, payroll, and budgeting tasks.
  • Strong organizational skills with the ability to manage multiple priorities efficiently.
  • Experience in event planning, vendor management, and calendar management is highly desirable.
  • Familiarity with human resources processes including onboarding, training & development, and employee record keeping.
  • Prior experience in medical office management or healthcare settings is a plus but not required.
