Office Administrator

Office Admin (Office & Field Support) for a Construction Company

Location: Austin, TX

Type: Full-Time

Compensation: $20-$24(based on experience) + performance bonus

About the Role:

We are looking for a highly organized and proactive office admin to support our office and field teams.This role is the operational backbone of our company—ensuring billing, time tracking, communication, and day-to-day execution run smoothly.

What You’ll Do:

- Enter accounts payable (AP) into our system (SLT)

- Process subcontractor invoices

- Track and follow up on missing documentation

- Support billing workflows to ensure timely and accurate invoicing

- Perform daily time record cleanup for field employees

- Prepare weekly time record exports for payroll

- Audit work orders for accuracy (time vs work completed)

- Follow up with field team on missing or incorrect time

- Answer phones and manage front desk responsibilities

- Serve as the main office contact for field employees

- Greet visitors and handle incoming requests

- Coordinate communication between office and field

- Track and follow up on tasks across multiple workflows

- Support subcontractor agreements and documentation

- Assist with new employee applications and onboarding paperwork

- Prepare warranty letters and closeout documentation

- Help maintain a clean and organized office environment

- Support team events, birthdays, and office coordination

- Assist with general administrative needs as they arise

What Success Looks Like:

- Billing and payroll processes run accurately and on time

- Field employees submit clean and complete time records

- Subcontractor invoices are processed without delays

- Tasks and follow-ups do not fall through the cracks

- The office runs smoothly without constant oversight

Who You Are:

- Highly organized and detail oriented

- Strong sense of ownership and follow-through

- Able to manage multiple priorities without getting overwhelmed

- Clear and professional communicator

- Proactive—doesn’t wait to be told what to do

- Administrative, operations, or office coordination experience

- Experience with AP/AR, invoicing, or bookkeeping (preferred)

- Experience working with field teams or service businesses (a plus)

- Comfortable learning new software and systems

This role directly impacts:

- Cash flow (billing and payroll accuracy)

- Team efficiency (keeping field and office aligned)

- Customer experience (through timely and organized execution)
