Job Summary:

We are seeking a proactive and highly organized Office Administrator & Accounts Assistant to manage the backbone of our daily operations. The ideal candidate will be a confident IT user with experience in bookkeeping, administration, and customer service. You will be responsible for maintaining a smooth-running office, managing company accounts on QuickBooks, handling client communications, and supporting our online presence. This is a vital role with significant potential for growth as the company expands.

Key Responsibilities:

  • Financial Administration & Bookkeeping:
  • Manage and maintain the company's financial records.
  • Handle accounts payable, accounts receivable, and bank reconciliations.
  • Prepare and file quarterly VAT returns and ensure compliance with all UAE tax regulations.
  • Process transactions and manage other necessary online services (e.g., government portals).
  • Office Management:
  • Ensure the office environment is kept organized, professional, and welcoming at all times.
  • Manage office supplies, handle mail, and maintain filing systems.
  • Act as the first point of contact for the company.
  • Communication & Coordination:
  • Confidently handle incoming and outgoing calls for sales inquiries, procurement, and customer support.
  • Maintain excellent relationships with all stakeholders, including clients, suppliers, and partners.
  • Professionally welcome and assist walk-in customers.
  • Digital Presence:
  • Assist in maintaining and updating the company's online presence, which may include the company website or social media channels.

Qualifications and Skills:

  • Familiarity with UAE VAT filing procedures and other online government service portals is highly desirable.
  • Excellent IT skills, with confidence in using MS Office Suite (Word, Excel) and learning new software.
  • Strong verbal and written communication skills in English.
  • A proactive, reliable, and detail-oriented work ethic.
  • Excellent interpersonal skills with a positive attitude and the ability to build rapport with clients and colleagues.
