Office Administrator and Bookkeeper

Job Title: Office Administrator & Bookkeeper (Part time)

Location: Gainesville, GA (Hybrid – some remote work possible)

Reports to: LLRC Executive Director

Classification: Part-Time Employee (W-2)

Hours: Approximately 15 hours per week

Compensation: $22/hour, commensurate with experience

Position Summary

The Lake Lanier Rowing Club (LLRC) is seeking a detail-oriented and reliable Office Administrator & Bookkeeper to support the club’s day-to-day financial operations and general administrative functions. This part-time role is essential in maintaining the financial health and compliance of the organization, while enabling our Executive Director to focus on program development and event expansion.

About Lake Lanier Rowing Club

Lake Lanier Rowing Club is a registered 501(c)(3) nonprofit organization dedicated to promoting the sport of rowing and providing inclusive, community-centered programs for youth and adults. As a nonprofit, we rely on the support of volunteers, donors, and dedicated staff to fulfill our mission of advancing health, teamwork, and excellence through rowing. Employees play a key role in supporting our mission and upholding our commitment to public service and community engagement.

Key Responsibilities

Bookkeeping & Financial Management

  • Record and reconcile all transactions in QuickBooks Online
  • Process and track payments for bills, memberships, and vendors
  • Run payroll for coaches, contractors, and event staff
  • Maintain and reconcile credit card and bank statements monthly
  • Track receivables, issue invoices, and follow up on outstanding payments ● Assist in preparing financial summaries for events and programs

Administrative Support

  • Communicate with members and partners as required by the Executive Director
  • Maintain organized digital records for financial documentation, waivers, contracts, and insurance
  • Ensure timely collection and filing of W-9s and 1099s
  • Manage vendor files, certificates of insurance, and renewal tracking
  • Support inventory records for merchandise, medals, and club assets

Compliance & Reporting

  • Assist with annual preparation of 1099 forms and 990 filings
  • Ensure income and expense categories align with nonprofit reporting standards
  • Coordinate with external accountant or CPA as needed

Systems & Integration Oversight

  • Maintain and troubleshoot basic integrations between QuickBooks, SportsEngine, and payment processors
  • Ensure data integrity across platforms

Qualifications

  • 2+ years of experience in bookkeeping or office administration
  • Proficiency with QuickBooks Online (required)
  • Experience with nonprofit accounting (preferred)
  • Familiarity with tools such as SportsEngine, Stripe, or Square is a plus
  • Strong attention to detail, organizational skills, and ability to work independently
