Accountant/Bookkeeper

Role Overview

We are looking for a detail-oriented Accountant / Bookkeeper to support accounting, billing, payroll, and record maintenance across multiple businesses, including a preschool, construction operations, and investment-related activities.

The ideal candidate should be comfortable working with Brightwheel, QuickBooks, bank statements, credit card statements, payroll records, and business expense categorization. This role requires strong attention to detail, timely follow-up, confidentiality, and the ability to manage records accurately across different business entities.

Key ResponsibilitiesPreschool / Brightwheel Administration

Maintain student and family records in Brightwheel, including creating new child profiles, updating existing records, and ensuring information is accurate and complete.

Activate and deactivate student accounts as children enroll, withdraw, or change schedules.

Set up billing plans, tuition charges, recurring invoices, discounts, fees, and other billing items in Brightwheel.

Monitor parent payments and generate alerts or follow-ups for delayed, missed, or overdue payments.

Assist with parent billing questions by reviewing account balances, payment history, and invoice details.

Maintain organized records for enrollment, billing, payment status, and account changes.

Payroll & QuickBooks

Run payroll through QuickBooks, including employee hours, salary payments, deductions, reimbursements, and payroll-related entries.

Maintain payroll records and coordinate with management on payroll approvals, changes, and corrections.

Reconcile payroll transactions with bank activity and accounting records.

Support payroll tax recordkeeping and provide necessary information to CPA or tax preparer when required.

Bookkeeping & Accounting

Perform bookkeeping for preschool, construction, and investment businesses.

Review bank account and credit card statements and accurately categorize income, expenses, transfers, vendor payments, owner contributions, and reimbursements.

Reconcile bank accounts, credit cards, and QuickBooks records on a regular basis.

Maintain clean and accurate books for each business entity.

Track construction-related expenses, vendor payments, contractor invoices, material purchases, permits, project costs, and reimbursements.

Maintain accounting records for investment-related activities, including income, expenses, transfers, and supporting documentation.

Prepare monthly financial summaries, expense reports, account reconciliations, and other reports as needed.

Coordinate with CPA, tax advisor, payroll provider, or business owner for year-end accounting and tax preparation.

Required Skills & Qualifications

Experience with bookkeeping, accounting, payroll, and business record maintenance.

Hands-on experience with QuickBooks is required.

Experience with Brightwheel or similar childcare management software is strongly preferred.

Ability to manage billing, tuition records, payment follow-ups, and account reconciliation.

Strong understanding of bank and credit card statement reconciliation.

Experience handling accounting for multiple businesses or entities is preferred.

Construction accounting experience is a plus.

High attention to detail and ability to maintain accurate records.

Comfortable working with confidential employee, family, financial, and business information.

Good communication skills and ability to follow up professionally on delayed payments or missing information.

Ability to work independently, meet deadlines, and keep records organized.

Preferred Qualifications

Prior experience working with a preschool, daycare, Montessori school, or childcare business.

Experience running payroll in QuickBooks.

Familiarity with construction project expense tracking.

Experience preparing books for CPA review and tax filing.

Knowledge of basic accrual/cash accounting principles.

Timely payroll processing through QuickBooks.

Monthly bank and credit card reconciliations.

Clean categorization of expenses across preschool, construction, and investment businesses.

Regular overdue payment tracking and alerts.

Organized financial records ready for CPA or tax filing review.

Pay: $1,000.00 - $1,500.00 per month
