Responsibilities
- Greet visitors warmly, answer multi-line phone systems, and direct calls with professional phone etiquette.
- Manage front desk operations, including scheduling appointments, handling mail, and maintaining visitor logs.
- Utilize office management software such as QuickBooks and Google Workspace to perform data entry, invoicing, and record keeping.
- Support clerical tasks like filing, proofreading documents, and organizing office supplies to ensure an efficient workspace.
- Assist with calendar management and scheduling for team members or executives, coordinating meetings and appointments.
- Provide exceptional customer service by addressing inquiries promptly and supporting client or patient interactions in medical or dental settings if applicable.
- Maintain organization of files, records, and correspondence while ensuring confidentiality and accuracy.
Qualifications
- Proven experience in office administration, clerical work, or reception roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace tools.
- Excellent computer literacy including data entry, proofreading, and document management.
- Strong communication skills with the ability to handle multi-line phone systems effectively; bilingual abilities are a plus.
- Experience with bookkeeping or financial software such as QuickBooks is preferred.
- Demonstrated ability to manage time efficiently and prioritize tasks in a fast-paced environment.
