Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support, managing office operations, and ensuring a smooth workflow within the office environment. This role requires strong communication skills and the ability to multitask effectively in a fast-paced setting.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries
  • Answer and direct calls using multi-line phone systems with excellent phone etiquette
  • Perform data entry tasks and maintain accurate records through filing and documentation
  • Assist with calendar management, scheduling appointments, and coordinating meetings
  • Provide customer support by addressing client concerns and inquiries promptly
  • Utilize QuickBooks for basic bookkeeping tasks as needed
  • Support office management functions, including inventory management and supply ordering
  • Conduct proofreading of documents to ensure accuracy and professionalism
  • Utilize Microsoft Office and Google Workspace applications for various administrative tasks
  • Maintain organization within the office by implementing effective filing systems

Skills

  • Proficiency in QuickBooks is preferred
  • Experience with front desk operations and multi-line phone systems
  • Bilingual capabilities are a plus
  • Strong organizational skills with attention to detail
  • Excellent computer skills, including proficiency in Microsoft Office and Google Workspace
  • Previous office experience or clerical experience is highly valued
  • Strong customer service skills with a focus on client satisfaction
  • Administrative experience with an understanding of office management principles
  • Effective time management skills to prioritize tasks efficiently
  • Typing proficiency for data entry tasks
