Job Overview
We are seeking a dedicated and detail-oriented Office Assistant to join our team. The ideal candidate will have a strong background in office management and administrative support, with excellent organizational skills and the ability to multitask effectively. This role involves assisting customer service, and supporting various office functions to ensure smooth daily operations.

Duties

  • Handle customer service and professional communication with tenants, property managers, and contractors.
  • Handle multi-line phone systems, directing calls appropriately and maintaining professional phone etiquette.
  • Perform clerical tasks such as data entry, filing, and document preparation with high attention to detail.
  • Utilize Microsoft Office and Google Workspace for creating documents, spreadsheets, and presentations.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support by addressing inquiries and resolving issues in a timely manner.
  • Maintain organized records and assist with bookkeeping tasks as needed.
  • Proofread documents for accuracy and clarity before distribution.
  • Conduct cold calls to prospects and property managers to support business development.
  • Oversee company vehicle fleet, including maintenance tracking and usage logs.
  • Collaborate with team members to enhance office efficiency and workflow.
  • Monitor staff clock-ins/outs and maintain attendance records.

Experience

  • Previous office experience is required; preferred.
  • Familiarity with QuickBooks or similar accounting software is a plus.
  • Experience in customer service roles, demonstrating strong interpersonal skills.
  • Bilingual (English/Spanish) a strong plus.
  • Proficiency in computer skills including typing speed and accuracy is essential.
  • Detail-oriented, organized, and dependable.
  • Strong organizational skills

Job Type: Full-time

Pay: $20.00 - $25.00 per hour

Expected hours: 40 per week

Experience:

  • Customer relationship management: 2 years (Preferred)
