Riphah International University is seeking a detail-oriented and organized Office Assistant with at least two years of experience to support the academic and administrative functions within the institution. The ideal candidate will have proficiency in Microsoft Office, data entry, and calendar management. This role focuses on maintaining accurate exam-related documentation, facilitating communication between faculty and administration, and providing crucial support during examination periods. The Office Assistant will be responsible for handling sensitive data securely and ensuring all records are up to date, contributing to the smooth operation of academic assessments without directly managing a team.

Responsibilities

  • Maintain and organize exam-related documentation, including attendance sheets, examination schedules, notices, and student records accurately and confidentially.
  • Prepare and distribute exam materials such as answer sheets, stationery, and essential documentation to ensure timely and efficient examinations.
  • Coordinate with faculty members and administrative staff to develop and communicate exam timetables, seating arrangements, and procedural instructions effectively.
  • Safeguard sensitive and confidential examination information, ensuring secure storage and restricted access to authorized personnel only.
  • Provide administrative support during mid-term, final-term, and supplementary examinations, facilitating smooth exam processes.
  • Assist in the tabulation, record-keeping, and accurate data entry related to student examination results and academic performance.
  • Support the Human Resources Department in maintaining accurate leave records, attendance logs, and disciplinary documents as required.
  • Perform clerical duties in support of the A.M Academics (RIPS), including filing, organizing records, and handling correspondence.
  • Draft official letters, memos, and internal communications under the guidance of university management to ensure clear and professional communication.
  • Perform any additional tasks assigned by the Dean or Director, demonstrating flexibility and a strong commitment to the universitys administrative needs.
