Office Assistant

Job Overview
We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. Duties

  • Greet visitors and clients professionally at the front desk, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls accurately and courteously
  • Handle data entry tasks using computer skills and office management software such as QuickBooks and Google Workspace
  • Maintain organized filing systems, both physical and digital, including document proofreading and record keeping
  • Support calendar management and appointment scheduling for staff and executives
  • Assist with bookkeeping duties, including basic invoicing and expense tracking
  • Provide exceptional customer service by responding promptly to inquiries via phone or email, demonstrating excellent phone etiquette and customer support skills

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Experience with clerical duties such as filing, proofreading, data entry, and document management
  • Knowledge of office management procedures and administrative best practices
  • Excellent communication skills in both English and bilingual capabilities (if applicable)
  • Familiarity with multi-line phone systems, calendar management, and time management techniques
  • Experience in customer service roles such as dental or medical receptionist is a plus
  • Ability to handle sensitive information discreetly with strong phone etiquette and professionalism
  • Basic bookkeeping skills including familiarity with QuickBooks or similar software is preferred
  • Personal assistant experience or office experience that demonstrates reliability and multitasking ability
