Office Assistant

Overview
We are seeking an organized Receptionist/Office Support to join our team. This role is vital in ensuring smooth daily operations, providing excellent customer service, and maintaining an efficient office environment. No experience needed, you just need to be motivated and open to learning various admin tasks. This position also involves a driving component such as covering overflow trips as needed.

Responsibilities

  • Manage multi-line phone systems, directing calls and taking messages accurately
  • Manage driver schedules such as accepting and declining transports as needed.
  • Schedule rides
  • Ability to learn billing, claims submissions, and etc.
  • Ability to utilize google maps to allocate enough time in between transports for drivers.
  • MUST have the skill to make independent decisions without upper management assistance unless its an emergency.
  • Driving component - very unlikely to happen, but it does happen from time to time if drivers need help with coverage.
  • Perform data entry, filing, and maintain organized records for easy retrieval
  • Handle correspondence, proofread documents, and ensure accuracy in all communications
  • Support office management tasks including supply ordering and inventory management
  • Assist with bookkeeping tasks using QuickBooks or similar software when necessary
  • Provide customer support via phone, email, or in person, ensuring excellent service standards
  • Maintain a clean and welcoming reception area and ensure adherence to office policies
  • Support administrative duties such as typing reports, managing appointments, and supporting personal assistant tasks if required

Qualifications

  • Prefer experience in office administration, clerical work, or receptionist roles
  • Prefer strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Prefer experience with multi-line phone systems and front desk operations
  • Prefer excellent organizational skills with the ability to multitask effectively
  • Prefer strong communication skills with professional phone etiquette; bilingual abilities are a plus
  • Attention to detail for proofreading and data entry tasks
  • Ability to manage time efficiently and prioritize responsibilities effectively
  • Previous experience in medical reception is advantageous but not required
  • Demonstrated ability to maintain confidentiality and handle sensitive information discreetly
