Office Assistant

Overview
We are seeking a dynamic and organized Office Assistant to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional customer service. A knowledge of pop culture including TV shows and movies is a plus.

As an Office Assistant, you will be the first point of contact for customers, manage administrative tasks with precision, and support various departments to keep everything running seamlessly. Responsibilities

  • Providing excellent customer service via phone and email
  • Maintain organized filing systems, perform data entry, and handle document proofreading to ensure accuracy and clarity
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for various administrative tasks
  • Perform general clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory
  • Provide support with office management tasks including organizing files, updating databases, and ensuring a tidy workspace
  • Offer administrative assistance to team members or personal assistants as needed to enhance overall productivity

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy including data entry, typing speed, and familiarity with office equipment
  • Strong customer service skills with professional phone etiquette and the ability to handle multi-line phone systems effectively
  • Bilingual abilities are highly desirable to serve diverse clients and team members more effectively
  • Knowledge of QuickBooks or bookkeeping experience is a plus for handling financial records accurately
  • Exceptional proofreading skills to ensure all documents are clear and error-free
  • Effective time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Previous experience as a dental or medical receptionist is advantageous but not required
  • Demonstrated ability to manage calendar schedules and coordinate appointments seamlessly
