Office Assistant

Job Summary
We are seeking a dynamic and highly organized Office Assistant to join our team! Duties

  • Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems with efficiency and courtesy
  • Handle incoming calls, direct inquiries appropriately, and provide exceptional customer support using phone etiquette and strong communication skills
  • Manage calendar appointments, schedule meetings, and coordinate events to optimize office productivity
  • Perform data entry, maintain accurate filing systems, and ensure all documents are proofread for clarity and accuracy
  • Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, presentations, and correspondence
  • Support office management tasks such as ordering supplies, maintaining inventory, and overseeing general administrative operations
  • Assist with bookkeeping activities using QuickBooks or similar software to track expenses and manage invoices

Experience

  • Previous office experience or clerical experience demonstrating proficiency in administrative tasks
  • Strong computer literacy with expertise in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with multi-line phone systems and professional phone etiquette
  • Bilingual skills preferred to assist diverse clients and team members effectively
  • Experience in customer service or customer support roles that highlight excellent interpersonal skills
  • Knowledge of office management practices including filing, data entry, calendar management, and proofreading
  • Personal assistant or medical/dental receptionist experience is a plus but not required; we value organizational skills and time management above all
