Office Assistant

Overview
We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. This role is vital in ensuring efficient office management, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to thrive in a fast-paced environment. Whether handling front desk duties, managing schedules, or supporting bookkeeping tasks, you will play a key role in creating a welcoming and productive office atmosphere.

Responsibilities

  • Greet visitors and manage the front desk with professionalism, ensuring a positive first impression for clients and guests
  • Operate multi-line phone systems, answer inquiries, direct calls appropriately, and maintain excellent phone etiquette
  • Manage calendar appointments, schedule meetings, and coordinate office events to optimize time management for staff
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Maintain office supplies inventory and coordinate with vendors for procurement needs
  • Assist with clerical tasks such as photocopying, scanning, and preparing correspondence or reports using Microsoft Office and Google Workspace tools

Experience

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Previous experience handling multi-line phone systems and providing customer support or customer service
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience working as a medical or dental receptionist or personal assistant is a plus but not required
  • Demonstrated attention to detail in proofreading documents and managing data entry tasks
