Office Assistant

We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the friendly face at the front desk, manage essential administrative tasks, and support daily office functions with enthusiasm and professionalism. Responsibilities

  • Greet visitors and clients with a warm, professional demeanor, providing exceptional customer service at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Maintain office supplies inventory and coordinate procurement as needed to keep the workspace well-stocked
  • Support calendar management and scheduling for meetings, appointments, and events using Microsoft Office and Google Workspace tools
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
  • Perform general clerical duties such as photocopying, scanning, and preparing correspondence to support daily operations

Requirements

  • Proven office experience in a fast-paced environment
  • Strong computer literacy with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with keen attention to detail and accuracy in typing, proofreading, and data entry
  • Experience with multi-line phone systems, phone etiquette, and customer support best practices
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
  • Knowledge of QuickBooks or bookkeeping experience is a plus but not mandatory; training will be provided if needed
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
  • Ability to manage time effectively while juggling multiple tasks in a professional manner
