Job Summary
We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will be making outbound phone calls, manage administrative tasks with efficiency, and support daily office operations seamlessly. Responsibilities

  • Greet visitors, clients, and vendors professionally at the front desk, providing exceptional customer service and maintaining a friendly atmosphere
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately using proper phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization of all office records
  • Maintain calendars, schedule appointments, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to assist with financial recordkeeping
  • Assist with office management duties including supply inventory, equipment maintenance, and organizing files for easy retrieval
  • Provide administrative support by preparing correspondence, managing email communications, and performing general clerical duties

Skills

  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Previous office or clerical experience demonstrating excellent organizational skills and attention to detail
  • Effective phone etiquette skills with experience managing multi-line phone systems and providing customer support
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Knowledge of QuickBooks or bookkeeping experience is preferred for handling financial transactions accurately
  • Exceptional time management skills to prioritize tasks efficiently in a busy environment
  • Experience as a dental or medical receptionist or personal assistant is a plus for understanding specialized workflows
  • Ability to perform data entry quickly with high accuracy while maintaining confidentiality
