We are seeking a proactive and organized Office Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, manage administrative tasks with precision, and ensure the smooth operation of daily office activities. Responsibilities

  • Greet visitors warmly and direct them appropriately, maintaining excellent front desk etiquette
  • Operate multi-line phone systems, handle incoming calls with professionalism, and route messages accurately
  • Manage calendar schedules, appointments, and meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Support bookkeeping tasks using QuickBooks or similar accounting software as needed
  • Assist with office management duties such as ordering supplies, maintaining inventory, and organizing files
  • Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Previous office experience or clerical experience demonstrating familiarity with administrative procedures
  • Bilingual abilities are highly desirable to assist a diverse client base
  • Effective phone etiquette and experience managing multi-line phone systems
  • Capable of typing quickly and accurately for data entry and correspondence purposes
  • Knowledge of office management practices including filing systems, proofreading, and calendar management
  • Customer service skills that foster positive interactions with clients, visitors, and team members
  • Personal assistant or medical/dental receptionist experience is a plus but not required
