Job Summary
We are seeking an energetic and detail-oriented Office Assistant to join our dynamic team! Duties

  • Greet visitors and manage front desk responsibilities with professionalism and warmth
  • Answer multi-line phone systems promptly, courteously directing calls and taking messages as needed
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Organize files, documents, and correspondence through effective filing systems and digital management tools
  • Assist with calendar management, scheduling appointments, and coordinating meetings for staff and executives
  • Support bookkeeping tasks including basic invoicing, expense tracking, and financial record keeping
  • Provide excellent customer service by addressing inquiries via phone or email, ensuring a positive experience for clients and visitors

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar accounting software for bookkeeping tasks
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Exceptional phone etiquette and customer support skills to handle inquiries professionally
  • Clerical experience including data entry, proofreading, filing, and document management
  • Familiarity with multi-line phone systems and front desk operations to ensure seamless communication flow
  • Time management skills to prioritize tasks effectively while maintaining attention to detail
  • Personal assistant or medical/dental receptionist experience is a plus for understanding specialized office environments
