Office Assistant

Duties

  • Provide project coordination support, including organizing and maintaining project files, tracking deadlines, and assisting with project documentation.
  • Assist with customer support activities, such as answering phone calls, responding to emails, and addressing customer inquiries or concerns while providing exceptional service.
  • Perform various clerical duties, including data entry, photocopying, scanning and organize and file documents systematically for easy retrieval.
  • Perform order entry tasks by accurately inputting customer orders into the system and ensuring timely processing.
  • Act as a personal assistant to the office manager by managing calendars, scheduling appointments, and making travel arrangements
  • Handle administrative tasks specific to the service center, such as managing records, scheduling appointments, and processing orders. Transcribing information from various sources into electronic formats.
  • Utilize QuickBooks or other accounting software to assist with bookkeeping tasks, such as invoicing clients, tracking expenses, and reconciling accounts.
  • Input, update, and maintain data in databases and spreadsheets with a high level of accuracy.
  • Serve as a receptionist at the service counter setting by greeting visitors, and addressing customer inquiries or concerns.
  • Conduct regular audits of data entries to ensure accuracy and completeness.

Qualifications

  • High school diploma or equivalent required; additional education or certification in office administration is a plus.
  • Proven experience in an administrative role or similar position is preferred.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Proficient in using computer software programs such as MS Office (Word, Excel, Access) and QuickBooks.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Attention to detail and accuracy in performing clerical tasks.
  • Strong problem-solving skills and ability to work independently or as part of a team
  • Basic math skills for handling numerical data accurately.
  • Excellent computer skills with the ability to quickly learn new software applications.
  • Excellent customer service skills with a friendly demeanor.
