Duties

  • Serve as the front desk receptionist, greeting visitors and managing incoming calls with professional phone etiquette.
  • Operate multi-line phone systems to handle inquiries efficiently and direct calls appropriately.
  • Manage calendar scheduling, appointments, and meetings for staff members using digital tools such as Google Workspace and Microsoft Office.
  • Perform data entry tasks, maintain accurate filing systems, and ensure proper document organization.
  • Support bookkeeping activities including basic invoicing, expense tracking, and record keeping using QuickBooks or similar software.
  • Assist with clerical duties such as proofreading documents, preparing correspondence, and maintaining office supplies inventory.
  • Provide customer support by addressing inquiries promptly and professionally via phone or email.
  • Support office management tasks including organizing files, managing office equipment, and coordinating internal communications.
  • Handle personal assistant responsibilities when required, including managing schedules and completing administrative errands.

Requirements

  • Proven experience in office administration or clerical roles with a minimum of three year of relevant experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with QuickBooks or similar bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong computer literacy and data entry skills with attention to detail.
  • Knowledge of multi-line phone systems and phone etiquette standards.
  • Ability to manage time efficiently and work independently in a fast-paced environment.
  • Previous experience as a personal assistant or in office management is advantageous. Pay: $22.50 - $29.50 per hour
