Office Assistant (Medical Office) - Job Description

Overview

We are seeking a detail-oriented and organized Office Assistant to join our medical team. The ideal candidate will serve as a versatile point of contact, providing comprehensive administrative and operational support. This role requires excellent communication skills, a proactive approach to managing medical office workflows, and a strong sense of professionalism to ensure our clinic runs smoothly.

Responsibilities

  • Medical Administrative Support:
  • Utilize and maintain proficiency in Jane, Office Ally, Availaity. eClinicalWorks to manage patient records and scheduling.
  • Verify patient insurance coverage, perform eligibility checks, and proactively follow up on claim statuses.
  • Handle incoming calls and emails with professional medical phone etiquette.
  • Office Operations & Maintenance:
  • Maintain a welcoming, organized, and hygienic office environment by assisting with light cleaning and facility upkeep.
  • Manage office supplies inventory and coordinate maintenance requests as needed.
  • General Administrative Duties:
  • Coordinate daily operations to ensure efficiency and regulatory compliance.
  • Maintain patient files and records with strict adherence to confidentiality/HIPAA guidelines.
  • Perform accurate data entry and assist in billing support tasks.
  • Provide high-level support to visitors, patients, and staff.

Skills & Qualifications

  • Medical Software Proficiency: Experience using Electronic Medical Records (EMR) or Practice Management (PM) software is highly preferred.
  • Insurance Knowledge: Demonstrated ability to navigate insurance portals, verify benefits, and resolve billing/claim discrepancies.
  • Technical Literacy: Proficient in Google Suite applications.
  • Multitasking Ability: Proven ability to balance administrative duties, patient communication, and office environment maintenance.
  • Professionalism: Strong organizational skills with a focus on patient confidentiality and high-quality service.
  • Experience: Previous experience as a Medical Receptionist, Medical Assistant, or in a multi-functional office support role is a significant plus.
