Position Overview

We are seeking a highly organized and detail-oriented Office Assistant to oversee daily administrative operations. The ideal candidate will play a key role in ensuring the smooth functioning of the practice while supporting both clinicians and clients.

Key Responsibilities

  • Manage and coordinate client scheduling, including intake appointments and ongoing sessions
  • Answer phones, respond to emails, and handle general client inquiries in a professional and empathetic manner
  • Verify insurance benefits and eligibility
  • Perform medical billing tasks, including claim submission, payment posting, and follow-up on denied claims
  • Maintain accurate client records and ensure compliance with HIPAA regulations
  • Process client payments and manage accounts receivable
  • Coordinate clinician schedules and maintain calendars
  • Assist with onboarding new clients, including intake paperwork and documentation
  • Manage office supplies, office cleanliness and administrative needs
  • Support the implementation and use of electronic health record (EHR) systems (e.g., SimplePractice)
  • Assist with general office operations and workflow improvements

Qualifications

  • Previous experience in a medical or mental health office required
  • Strong knowledge of medical billing, insurance verification, and claims processes
  • Familiarity with EHR systems (SimplePractice preferred)
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal skills
  • Ability to maintain confidentiality and professionalism at all times
  • Proficiency in Microsoft Office and general computer skills

Preferred Qualifications

  • Experience working in a mental health or behavioral health setting
  • Knowledge of CPT codes, ICD-10 codes, and insurance panels
  • Experience with Medicare, Medicaid, and commercial insurance billing
