The Office Assistant is a non-exempt, entry-level position that provides administrative support to various City Departments. Under immediate supervision, the employee acquires the necessary skills and abilities needed to promote to higher level positions as departmental technicians, Senior Office Assistants and/or Administrative Technicians. Strong clerical skills, including computer usage, phone etiquette, filing, office equipment operation, and communication skills are required.This job description is an overview and is intended to describe the general nature and level of work being performed. EXAMPLE OF DUTIES
ESSENTIAL FUNCTIONS: Reception / front counter responsibilities which may include the use of a computerized cash register, explaining departmental procedures to citizens, accepting documentation such as applications, and directing citizens to the proper department for the required servicesUses a computer system and necessary software to perform accurate preparation of memorandums, letters, reports, and other correspondence; enters data into spreadsheets and databases; and queries for information. Scans and archives departmental documentation for record retention purposesAnswers a multi-line telephone system, screens and directs calls to the appropriate party, and takes complete and accurate messagesLearns, interprets, and explains City of Pueblo and departmental policies, procedures, and general practices Retrieves information from various locations and sources when neededAssists in the development and maintenance of the department filing system to ensure timely filing of important information, using the appropriate office equipment, computer software, and practicesIMPORTANT FUNCTIONS: Assists the higher-level clerical staff with routine clerical tasks as requested May be required to drive depending on the assigned departmentMay collect fines, fees and other monetary payments associated with departmental workflowPerforms duties of similar classifications of an equal or lower pay grade as requiredMay process property and evidence taken in by officers in a timely manner depending on the assigned department PHYSICAL REQUIREMENTS: The physical attributes an employee must have in order to perform the essential job duties with or without a reasonable accommodation include: Must have ability to lift and move files and supplies weighing up to 45 pounds. Work is sedentary and done in a seated position, but requires frequent moving about, standing, bending, kneeling, reaching, or stooping to perform filing. Position requires the ability to input large amounts of data using repetitive motion on a frequent and prolonged basis. The incumbent must be able to hear all communication from customers and employees by telephone or in person, and use vision to work with written documents, forms, and to respond to employees and customers.

SUPPLEMENTAL INFORMATION
In addition to the knowledge, skills and abilities listed above the candidate must possess: A high school diploma, GED, or higher education; A valid driver’s license at the time of application, and a valid Colorado driver’s license within 30 days of employmentLicense restrictions that may hinder your ability to drive on City business, such as an interlock, will be cause for disqualificationDuring the course of employment, a valid license must be maintained, and the employee must notify the City immediately upon changes to the status of their license and;At least one (1) year of successful demonstrated experience in a fast-paced customer service work environment using computers and computer-related equipment and includes multi-tasking, significant public contact, and multi-line telephone communications.Depending on assignment, illegal drug usage, as described below, at the time of application may be cause for disqualification: Any use of marijuana within 2 years prior to the date of application; And/Or;Any usage of any illegal drugs other than marijuana (i.e. heroin, cocaine, LSD, amphetamines, steroids, or other illegal drug as defined in schedules I through V of Section 202 of the Controlled Substances Act) within two (2) years prior to the date of application.Depending on assignment, candidates must be willing to submit to the following requirements: Job Suitability Analysis Comprehensive background investigationPolygraphPsychological examinationDrug screeningPhysical examinationTattoos and other markings, as described below, will be cause for disqualification for positions in the Pueblo Police Department: Any tattoos, or other markings on the head, scalp, face, ears, neck (above the collarbone), or hands (wrist to fingertips).Permanent cosmetic make-up on the face or one permanent commitment band on the finger are exempt from this policyCurrent Police Department employees hired prior to July 1, 2025, will be exempt from this disqualificationSPECIAL CONDITIONS OF EMPLOYMENT: The duties in this classification are primarily performed indoors, in a comfortable office environment. The incumbent must demonstrate the ability to meet the physical demands of the job including the ability to retrieve information from various locations and sources when needed. The position requires a great deal of interpersonal communication with City employees, the public, and outside agencies. The individual may be frequently exposed to periods of demanding activity and moderate mental stress. Incumbents may be required to work shifts, holidays, weekends, and additional hours or overtime. Individual must successfully pass a post-offer background check and a physical. Depending on assignment, individual may be required to successfully complete a police background investigation, which may include polygraph and psychological examinations and fingerprinting. All required licenses and certifications must be maintained throughout the term of employment. Failure to obtain or maintain licenses and certifications may result in demotion or termination. Due to Federal and State Criminal Justice System access requirements, classifications that access and maintain criminal justice information may also be required, as a condition of employment, to not have been convicted of and/or have pending charges of a felony or misdemeanor crime that would deny or otherwise restrict access to criminal justice information.
