Office Assistant

Job Overview
We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. Duties

  • Greet visitors, clients, and vendors with professionalism and friendly customer service at the front desk
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records
  • Organize files, process paperwork, and ensure proper filing systems are maintained for easy retrieval
  • Assist with calendar management and scheduling appointments for staff and executive
  • Provide clerical support such as proofreading documents, preparing reports, and handling mail distribution
  • Maintain office supplies inventory list and coordinate orders to ensure smooth daily operations
  • Offer general administrative assistance including photocopying, faxing, and updating databases

Experience

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, ), Google Workspace, and data entry skills
  • Experience handling multi-line phone systems and practicing excellent phone etiquette
  • Prior customer service experience demonstrating strong interpersonal skills
  • Familiarity with clerical tasks such as filing, proofreading, and document organization
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Ability to multitask efficiently while managing time effectively in a fast-paced environment
