Office Assistant/Receptionist

Job Summary
We are seeking a professional, organized and customer-focused Front Office Assistant/Receptionist to join our team! This energetic role is vital in creating a welcoming environment for visitors and ensuring the smooth operation of daily office activities. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for clients, vendors, and staff, managing front desk responsibilities, administrative tasks, and supporting office management functions. This position plays a critical role in creating a positive experience for every customer who calls or visits our facility.

Duties

  • Greet visitors warmly and professionally, directing them appropriately while maintaining a positive first impression
  • Manage multi-line phone systems, answer inquiries promptly, and transfer calls efficiently using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents
  • Perform data entry tasks using CCC estimating and Microsoft Office Suite applications with high accuracy and attention to detail
  • Assist with appointment scheduling and calendar management
  • Process customer payments and daily deposits accurately
  • Support office management by overseeing supply inventory and ensuring the workspace remains tidy and functional
  • Provide clerical support such as preparing proper documentation and managing time-sensitive tasks
  • Support bookkeeping activities using QuickBooks or similar accounting software when necessary
  • Offer exceptional customer service by addressing inquiries professionally and supporting clients or insurance in person or over the phone

Experience

  • Previous office experience or administrative support roles demonstrating strong organizational skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel) and data entry tools
  • Experience handling multi-line phone systems and practicing effective phone etiquette
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Familiarity with QuickBooks or bookkeeping software is a plus but not required; training can be provided
  • Strong typing skills with attention to proofreading details for professional communication
  • Demonstrated ability to manage calendars, prioritize tasks efficiently, and handle multiple responsibilities simultaneously
  • Customer service experience in a professional setting enhances your ability to support clients with enthusiasm and professionalism
