Position Overview

We are seeking a highly organized, proactive, and energetic Office Coordinator to be the operational backbone of our dynamic organization. This role is crucial for ensuring the smooth day-to-day functioning of our office and providing critical support for our contest cycles. The ideal candidate will be a master multitasker with excellent communication skills, a keen eye for detail, and a passion for supporting a team that makes a real impact.

Key Responsibilities

Office Administration & Operations:

  • Serve as the first point of contact for the office, managing phone calls, emails, and visitor inquiries in a professional and friendly manner.
  • Maintain office supplies inventory by checking stock, anticipating needs, and placing orders.
  • Ensure the office environment is tidy, organized, and fully operational.
  • Coordinate with building management and vendors for office maintenance and services.
  • Manage incoming and outgoing mail and packages.

Contest Support & Logistics:

  • Provide administrative support to the contest management team during peak seasons.
  • Assist with the preparation and shipment of contest materials, certificates, and prizes to participants and schools.
  • Help maintain and update participant databases with a high degree of accuracy.
  • Process participant registrations and respond to general inquiries from participants, parents, and educators.
  • Coordinate the scheduling of meetings, judging panels, and other contest-related events.

Communication & Coordination:

  • Draft, proofread, and send official communications, such as emails and newsletters.
  • Act as a liaison between different internal teams (e.g., Marketing, IT, Contest Design) to ensure information flows smoothly.
  • Prepare materials for internal and external meetings, including agendas and minutes.

Financial & Record Keeping:

  • Assist with basic bookkeeping tasks, such as processing invoices, expense reports, and tracking budgets for office supplies.
  • Maintain organized digital and physical filing systems for all administrative and contest-related documents.

Qualifications & Skills

Required:

  • Proven experience as an Office Coordinator, Administrative Assistant, or similar role.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • High level of discretion and confidentiality.
  • A positive, "can-do" attitude and the ability to work both independently and as part of a team.

Preferred:

  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field.
  • Familiarity with basic database management.
  • Basic understanding of social media platforms.
