Position & Team: Office Coordinator Admin

Wage Range: $27-$29/hour + PTO, 401K match, Health/Dental/Vision insurance, housing assistance

Classification: Full-time, year-round, non-exempt, on-site

JOB DESCRIPTION

CORE RESPONSIBILITIES:


The Ascendigo Office Coordinator will assist all departments with administrative requests including but not limited to scheduling and organizing meetings, scanning and printing, supply/equipment requests, and conference room preparation. This position will have strong organizational and multitasking skills, attention to detail, and excellent written and verbal communication skills with a strong emphasis on board activities and customer service. This position is also responsible for ensuring the physical office space organized, has necessary supplies for teams, and is inviting for staff and those visiting.


TASKS:

  • Greet all visitors, provide general support and information
  • Support tasks as needed for senior leadership including but not limited to travel, filing, editing, typing, copying, binding, and scanning
  • Keep the office tidy, stocked, and organized, including kitchen, conference room, and storage closets
  • Receive, sort, and distribute all deliveries and mail
  • Order office supplies, stock supply stations, and ensure office equipment is operable
  • Coordinate repairs for office equipment
  • Handle sensitive information in a confidential manner in compliance with HIPAA
  • Coordinate office procedures including control of petty cash
  • Phone system operations and equipment check in/out procedures
  • Perform administrative tasks to support daily business operations
  • Always exhibit polite and professional communication
  • Responsible for board and committee meeting schedules, portal updates, minutes, agendas, packets, and any annual board documents.
  • Coordinating staff events
  • Managing birthday and anniversary tracking
  • Assisting with recognition weeks
  • Assist with onboarding/offboarding experience
  • IT inventory tracking
  • Coordinating IT equipment distribution and returns
  • Daily load of laundry for cleaning rags
  • Other duties as assigned or needed.
  • S=Support with general mailers
  • Supply checks and facility walkthroughs
  • Answering Phones and helping direct call traffic
  • Answering doors / letting visitors in/out of building

  • Fleet Coordination (5-10 hours/week)
    • Checking fluid, lights, tires & making record
    • Coordinating repairs with mechanics & scheduling pickup/ drop-off
    • Administering new driver training and administering driver re-checks
    • On Call Support in case of vehicle breakdown
    • Work with current staff members to help coordinate weekly vacuuming and cleaning
  • Board Admin Support (Quarterly & Ongoing)
  • Manage all board and committee calendar invites
  • Manage board tracker (attendance and demographic info)
  • Ensure all required documentation is uploaded to the board portal
  • Distribute board and committee packets
  • Complete minutes for all board meetings and assigned committee meetings

QUALIFICATIONS:

  • Knowledge of the field of autism is preferred
  • Excellent organizational and communication skills
  • Attention to detail and problem-solving skills
  • Ability to multitask and work under minimal supervision
  • Knowledge of Microsoft Office, strong emphasis on Word and Excel

IN ADDITION:

  • Must be 21 or over and have legal working status
  • Valid driver’s license with no major violations in the past 5 years
  • Clean background check with no felonies or flags
  • Minimum high school diploma
  • Bi-lingual English & Spanish is a plus!
  • Flexibility to travel for occasional professional development and resident activities
  • Personal smartphone with texting capacity
