Office Coordinator

Normeca International AS is seeking a dedicated and detail-oriented Office Coordinator to join our project in Pakistan, “Mobile Multi Diagnostic Clinic / Mini Hospital,” operated under the management of the Islamic Development Bank (ISDB) and in cooperation with the Government of the Islamic Republic of Pakistan. These clinics, which provide general diagnostic and minor surgical procedures, are fully equipped mobile units operating in the KPK and Sindh regions.

Position Overview:

The Office Coordinator will play a key role in supporting smooth administrative operations and ensuring proper management of documentation and compliance processes. This position is full-time and based at our Islamabad headquarters, reporting directly to the Project Manager.

Key Responsibilities:

• Organize and maintain filing systems, both digital and physical.
• Draft, format, and manage formal correspondence and internal communications.
• Record and monitor all incoming and outgoing communications.
• Track and manage NOC timelines, including expiries, renewals, and follow-ups.
• Liaise with government departments to ensure timely compliance with NOC and regulatory requirements.
• Ensure documentation is accurate, up-to-date, and compliant with policies.

Qualifications and Skills:

• Prior experience in a similar administrative role, preferably within an international organization.
• Solid understanding of NOC processes and government compliance procedures.
• Excellent written and spoken English.
• Proficiency in MS Office (Word, Excel, Outlook).
• Strong attention to detail, organizational skills, and ability to multitask effectively.
• Relevant degree or qualification in administration or related field.
