Office Coordinator

Job Summary

Granite-Tops is looking for a highly organized and detail-oriented Office Coordinator to support our daily operations. This role is a key part of our team, helping ensure everything runs smoothly across scheduling, accounting, inventory, and administrative tasks.

The ideal candidate enjoys variety in their day, is comfortable multitasking, and takes pride in accuracy and organization.

Key Responsibilities

Scheduling

  • Contact customers to confirm field service arrival times via phone, email, or text
  • Create and maintain installation and service schedules
  • Coordinate customer notifications for appointments using scheduling software
  • Provide backup support to the Scheduling Lead

Project & Inventory Support

  • Verify job materials and update inventory for completed projects
  • Run reports to ensure materials are ready for upcoming installations

Accounting Functions

Accounts Receivable

  • Prepare and process customer invoices (retail and contractor)
  • Apply taxes and maintain exemption records
  • Process and post payments, including credit cards
  • Match payments to invoices and maintain accurate accounts
  • Conduct collection calls on outstanding balances

Accounts Payable

  • Track purchase orders and match invoices to packing slips
  • Verify vendor statements and resolve discrepancies

Administrative Accounting

  • File and organize financial documents
  • Process credit applications and material returns
  • Update accounting logs and records

Inventory & Purchasing

  • Assist with monthly inventory counts
  • Verify pricing and enter vendor bills
  • Provide backup support for purchase orders and receiving

Administrative & Front Desk Support

  • Provide backup reception support, including answering phones
  • Assist customers and support team members as needed
  • Help with general administrative tasks across departments

Qualifications

Required:

  • High school diploma or equivalent
  • 1+ year of accounting, bookkeeping, or administrative experience preferred
  • Strong communication and customer service skills
  • Basic math and accounting knowledge
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Strong organizational and multitasking abilities
  • High attention to detail and accuracy
  • Ability to work independently and as part of a team

Position Details

  • Non-exempt (hourly) position
  • No direct reports
  • Primarily office-based, with occasional exposure to shop/production areas
  • May involve occasional light lifting
