Office Executive

The Documentation Controller is responsible for managing and maintaining company records, documents, and files in an organized manner. They ensure that all documentation is properly stored, easily accessible, and complies with company standards and regulations. The role involves supporting various departments by organizing documents, tracking revisions, and ensuring that records are current and properly archived.

Key Responsibilities:

  • Document Management:
  • Organize, store, and manage physical and digital documents to ensure easy retrieval and access.
  • Implement and maintain a standardized document control system to track versions, updates, and approvals.
  • Ensure proper labeling, categorization, and archiving of documents.
  • Maintain a comprehensive filing system for all records and documents.
  • Compliance and Quality Control:
  • Ensure all documents meet legal, regulatory, and organizational standards.
  • Review and ensure that documents are accurate, complete, and up to date.
  • Work closely with departments to ensure compliance with industry standards and internal procedures.
  • Document Revision and Approval:
  • Track and manage document revisions, ensuring changes are accurately logged and approved.
  • Coordinate document reviews and approvals, ensuring all necessary parties are involved and deadlines are met.
  • Maintain records of all document versions and ensure the latest version is accessible.
  • Collaboration:
  • Assist departments (e.g., engineering, finance, HR) with documentation-related needs and provide support for document creation, editing, and review.
  • Liaise with external parties (vendors, clients, regulators) to ensure proper documentation exchange and compliance.
  • Archiving and Storage:
  • Oversee the archiving of obsolete documents and ensure proper disposal of outdated materials in compliance with company policies.
  • Manage the backup of important documents to prevent loss of critical data.
  • Training and Support:
  • Train employees on proper documentation practices, including the use of the document management system and version control.
  • Provide ongoing support for staff regarding document control practices.
  • Reporting:
  • Generate reports on document status, pending approvals, and document inventory as required by management.
  • Monitor document control metrics and suggest improvements to streamline processes.

Pay: From Rs25,000.00 per month
