Position Overview

Pacha New York is looking for an experienced and highly organised Office Executive Assistant to support the Executive Office in a fast-paced, high-volume nightlife and live entertainment environment. This role plays a key part in ensuring seamless administrative support to senior leadership while also assisting with artist advancing and logistics coordination. The position supports the smooth execution of events by bridging communication between internal teams and artist relations, while maintaining high standards of organisation, accuracy, and discretion.

Key Responsibilities

  • Provide high-level administrative support to senior leadership, including calendar management, scheduling, and meeting coordination
  • Prepare agendas, briefing materials, presentations, and manage professional correspondence and internal communications
  • Act as a key point of contact between the Executive Office and internal teams, promoters, partners, and external stakeholders
  • Take meeting minutes, track action items, and ensure timely follow-up and execution
  • Liaise between artists and the on-site Artist Relations team to support advancing and logistics coordination
  • Coordinate artist travel, including flights, accommodation, airport transfers, and venue transportation, ensuring seamless execution
  • Distribute and communicate artist riders to relevant teams, ensuring all requirements are understood and delivered
  • Support Run of Show coordination pre- and post-event, ensuring alignment across stakeholders
  • Coordinate artist guest lists with the Door Manager and support green room readiness with on-site teams
  • Oversee light office management, including coordination of office supplies, cleaners, and basic facilities
  • Maintain organised filing systems, contracts, and operational documentation
  • Support expense tracking, invoice coordination, and administrative reporting
  • Handle confidential and commercially sensitive information with discretion

What We’re Looking For

  • 3–5 years’ experience in an Executive Assistant, Office Manager, or similar role supporting senior leadership
  • Experience in nightlife, live entertainment, events, or hospitality environments strongly preferred
  • Exposure to artist relations, advancing, or event logistics is highly advantageous
  • Proven ability to manage multiple priorities, complex schedules, and competing deadlines
  • Strong organisational skills with exceptional attention to detail
  • Excellent written and verbal communication skills in English
  • High level of professionalism, discretion, and confidentiality
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong stakeholder management skills with the ability to work across operations, production, and artist relations teams
  • Proactive, solutions-oriented, and able to operate independently in a dynamic, high-pressure environment
  • Flexible approach to working hours in line with nightlife and event operations

Salary Range: USD 65,000 – 75,000 per year (Final compensation determined based on experience, skills, and internal equity)
