Job Summary
LPD Builders is seeking an experienced Office Manager to join our commercial construction team. This role is central to our operations and is responsible for ensuring accurate financial management, smooth project workflows, and compliance. The ideal candidate is highly organized, detail-oriented, and familiar with construction-specific financial processes.
This is a full ownership role, not a clerical position. The Office Manager will manage AR/AP, job cost reporting, cash forecasting, and project documentation while coordinating key meetings and tracking operational metrics.
Duties
- AR / Invoicing / Pay Apps
- Issue all client invoices on a fixed cadence
- Forecast and update weekly staffing and material requirements for active projects.
Job Cost & Reporting
- Update job cost weekly for all active projects
- Produce a simple WIP report including contract amount, billed to date, cost to date, and projected margin
Cadence & Meetings
- Own the office calendar and coordinate all logistics
- Schedule and help the CEO run meetings:
- Weekly meetings
- Weekly production meeting (PM, Superintendent, APM)
- Prepare agendas, capture decisions, and track action items
Paperwork & Compliance
- Track and maintain contracts, COIs, W‑9s, lien waivers, and permits
- Ensure all deadlines are up to date and documents are compliant
- Prepare accurate pay applications with supporting documentation
- Track retainage and ensure all amounts are recorded properly
Skills
- 4+ years of construction industry experience
- Strong understanding of AIA billing, G702/G703 pay applications, retainage tracking
- Experience with job costing, WIP reports, and construction accounting
- Proficiency in managing accounts payable, accounts receivable, subcontractor billing, and cash flow forecasting
- Excellent organizational, time management, and communication skills
- Ability to own processes and deliver results independently
- Familiarity with construction compliance, contracts, lien waivers, permits, and insurance documentation
- Ability to handle human resources responsibilities including training & development and employee relations
- Experience in medical office management is a plus, but not required
- Excellent organizational skills to prioritize tasks effectively in a fast-paced environment
- Demonstrated ability to manage schedules efficiently and coordinate multiple projects simultaneously
Pay: From $70,000.00 per year
