Responsibilities

Office & Workplace Operations
-
Manage daily office operations to ensure a functional, professional, and welcoming workplace

Serve as the primary onsite point of contact for employee office-related needs and request

Manage office organization, cleanliness, and overall workplace experience

Manage office supply inventory, ordering, and coordination
-
Facilities & Vendor Coordination
-
Coordinate with facilities-related vendors (Janitorial, building management, office repairs, etc.)
-
Track vendor performance and escalate issues or risks to Head of Site Operations

Support site safety, security, and access procedures in alignment with company policies

Ensure the facility is compliant with all local regulations including EHS (Environment, Health & Safety) standards.

Employee Support & Onboarding

Coordinate in partnership with talent team for onsite onboarding logistics for new hires, including workplace setup, badges, and basic access.

Serve as a resource for employees on office policies, procedures, and workplace tools

Support hybrid and in-office workplace programs

Administrative & Event Support

Manage conference room scheduling and meeting logistics

Support internal meetings, onsite events, and employee events as needed

Security & Asset Protection
-
Act as the primary point of contact for all security-related activities at the site – Badging, storage, etc.

Implement and enforce security protocols to safeguard company assets, personnel, and information.

Liaise with third-party security vendors and ensure surveillance, access control, and emergency response measures are up to date.

Conduct regular audits and risk assessments to proactively address safety concerns.
Essential Attributes
The Office Manager is responsible for overseeing the day-to-day of the US Office and ensuring a smooth, organized, and well-supported workplace environment. This role focuses on execution and onsite management, reporting into the Head of Site Operations to implement opereational processes, policies, and standards that support employees and business needs.

Proficiency in MS Office (MS Excel and MS Outlook, in particular).
