Overview
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, excellent customer service, and efficient management of office resources. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to support our team and maintain a welcoming, productive workspace. As an Office Manager, you will be the backbone of our office operations, fostering a positive atmosphere and ensuring all administrative functions run seamlessly.

Responsibilities

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
  • Oversee clerical tasks such as data entry, filing, proofreading, and maintaining accurate records using Microsoft Office and Google Workspace tools.
  • Coordinate calendar management and scheduling for team meetings, appointments, and events to optimize time management.
  • Handle office supply inventory, order necessary materials, and ensure the workspace remains organized and efficient.
  • Support bookkeeping activities using QuickBooks or similar software to assist with invoicing, expense tracking, and basic financial recordkeeping.
  • Assist with administrative support tasks including typing correspondence, managing emails, and supporting personal assistant duties as needed.
  • Maintain a professional environment by upholding phone etiquette, managing multi-line phone systems, and ensuring smooth communication across departments.

Requirements

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
  • Prior clerical experience including filing, proofreading, and document management.
  • Familiarity with QuickBooks or bookkeeping software is preferred.
  • Exceptional customer service skills with the ability to handle front desk responsibilities confidently.
  • Bilingual abilities are a plus to support diverse client interactions.
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Experience in medical or dental receptionist roles is advantageous but not required; related experience in customer support or personal assistant roles is valued.
