Job Summary
We are seeking a dynamic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient work environment. This role is vital in coordinating administrative functions, managing office systems, and supporting staff to foster productivity and professionalism. Duties

  • Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professional phone etiquette.
  • Operate multi-line phone systems efficiently to ensure seamless communication within the office and with external contacts.
  • Oversee calendar management for staff schedules, appointments, meetings, and deadlines using tools like Google Workspace or Microsoft Office.
  • Maintain accurate data entry, filing systems, and record keeping including confidential documents and correspondence.
  • Coordinate office supplies procurement, inventory management, and equipment maintenance to keep the workspace fully functional.
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks or similar software.
  • Provide exceptional customer service by assisting clients or visitors both in person and via phone or email while maintaining professional demeanor at all times.
  • Proofread documents, emails, and reports to ensure clarity, accuracy, and professionalism before distribution.
  • Assist with clerical tasks such as typing correspondence, preparing reports, and managing incoming/outgoing mail.
  • Support other administrative projects as needed to enhance overall office efficiency.

Requirements

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks for bookkeeping and basic financial tasks.
  • Excellent computer literacy including data entry, filing systems, and document proofreading.
  • Strong multi-tasking ability with effective time management skills to prioritize competing responsibilities.
  • Exceptional customer service skills combined with professional phone etiquette for handling front desk duties and multi-line phone systems.
  • Bilingual abilities are a plus to support diverse client interactions.
  • Previous experience in clerical work or as a medical/dental receptionist is desirable but not required.
  • Knowledge of office equipment such as printers, scanners, and fax machines is preferred.

Pay: $1,017.03 - $1,224.81 per week
