Responsibilities
- Greet visitors, clients, and vendors with professionalism and warmth at the front desk, ensuring excellent customer service.
- Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately to appropriate departments or personnel.
- Handle all clerical tasks including data entry, filing, proofreading documents, and maintaining organized records.
- Oversee calendar management for meetings, appointments, and events; coordinate scheduling to optimize time efficiency.
- Maintain office supplies inventory, place orders as needed, and ensure the office environment is clean and well-equipped.
- Support bookkeeping activities using QuickBooks or similar accounting software; assist with basic invoicing and expense tracking.
- Supervise administrative staff or assistants; provide training on office procedures and uphold high standards of phone etiquette and customer support.
Requirements
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications for document creation and collaboration.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong computer literacy including familiarity with data entry, filing systems, and basic bookkeeping software like QuickBooks.
- Exceptional communication skills; bilingual abilities are a plus for serving diverse clientele.
- Experience managing multi-line phone systems, calendar coordination, and front desk operations.
- Demonstrated ability to handle phone etiquette professionally while providing outstanding customer support.
- Personal assistant or medical/dental receptionist experience is advantageous but not required; relevant office experience is essential.
- Ability to multitask efficiently while maintaining attention to detail; typing speed should meet standard productivity benchmarks.
