Position Summary
The Office Manager is a pivotal leadership role responsible for overseeing, optimizing, and directing daily office operations. This position drives organizational excellence by managing administrative workflows, implementing effective workplace policies, coordinating facilities and resources, and empowering the broader team to ensure peak productivity and operational success.
Position Responsibilities
Lead Management & Client Experience
- Act as the frontline ambassador for the company, immediately engaging prospective clients with exceptional service and professionalism across all communication channels.
- Qualify all incoming leads by actively listening to the customer, gathering critical project details, and assessing their specific needs.
- Take ownership of the sales calendar by independently scheduling estimates, site visits, and appointments for the team.
- Direct and optimize general communications (phone, email), resolving escalated inquiries seamlessly.
CRM & Data Integrity
- Oversee and maintain the health of the CRM system, ensuring all new leads, client profiles, and estimate details are accurately captured from the initial point of contact.
- Establish, audit, and enforce standard operating procedures (SOPs) for data entry, as well as digital and physical filing systems, to ensure organizational compliance.
Financial & Compliance Administration
- Manage comprehensive financial administrative duties utilizing QuickBooks, executing precise bookkeeping by processing invoices, cutting checks to subcontractors and vendors, and tracking all expenses.
- Protect and maintain records of all official documentation, proactively keeping corporate insurance policies, operational licenses, and compliance files completely up to date.
Office Logistics & Facilities Management
- Take full ownership of office logistics, including the proactive tracking, procurement, and management of all office supplies and equipment to prevent operational interruptions.
- Coordinate complex internal scheduling, executive appointments, travel arrangements, and meetings.
- Oversee daily facility operations, handling mail distribution and ensuring the office environment remains highly organized, professional, and presentable.
Cross-Functional Leadership & Collaboration
- Serve as the central administrative hub, driving cross-functional communication to streamline business practices from the initial estimate through project completion.
- Identify daily operational bottlenecks and implement workflow improvements to support overall team efficiency and organizational growth.

Required Qualifications, Skills, and Education
- 1-2 years of experience working in an office setting.
- Proven experience with bookkeeping practices and working knowledge of QuickBooks.
- Proficiency with Mac operating systems and extensive experience utilizing business productivity tools such as Google Workspace.
- Exceptional communication, interpersonal skills, and a professional demeanor.
- Exceptional organizational skills and attention to detail.
- Exceptional ability to prioritize tasks and manage time effectively in a fast-paced environment.
- A high school diploma or equivalent is required.
Preferred Qualifications, Skills, and Education
- 1-2 years of experience working in an office setting within the roofing or construction sectors.
- Experience with CRM systems beyond basic data entry.
- Associate's degree in Business Administration or a related field.
