Overview
We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office environment. This position requires strong organizational skills, excellent communication abilities, and a commitment to providing exceptional customer service. As an Office Assistant, you will be responsible for various administrative tasks that support our daily operations.

Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately.
  • Handle multi-line phone systems, ensuring professional phone etiquette while managing incoming calls.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Assist with filing and organizing documents to ensure easy access to information.
  • Utilize QuickBooks for basic bookkeeping and financial record management.
  • Provide customer support by addressing inquiries and resolving issues promptly.
  • Maintain calendars and schedule appointments, demonstrating effective time management skills.
  • Support office management tasks, including inventory management and supply ordering.
  • Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
  • Collaborate with team members to enhance office efficiency and workflow.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong computer literacy with the ability to learn new software quickly.
  • Previous office experience or clerical experience is preferred, with a focus on administrative roles.
  • Excellent organizational skills with attention to detail for maintaining accurate records.
  • Bilingual abilities are a plus, enhancing communication with diverse clientele.
  • Experience as a dental receptionist or medical receptionist is beneficial but not required.
  • Familiarity with calendar management and personal assistant duties is advantageous.
