Position Overview:
The Bookkeeper / Office Manager will play a key role in maintaining accurate financial records, supporting day-to-day administrative operations, and helping ensure projects run efficiently from a back-office standpoint.
Key Responsibilities:
Bookkeeping & Financial Management:
- Manage accounts payable and receivable
- Process invoices, payments, and payroll
- Reconcile bank and credit card statements
- Maintain accurate financial records and job cost tracking
- Assist with budgeting and financial reporting
- Coordinate with CPA for tax preparation and year-end reporting
Office Management & Administrative Support:
- Oversee daily office operations
- Manage contracts, permits, and project documentation
- Handle phone calls, emails, and client communication
- Maintain vendor and subcontractor records (W-9s, insurance, etc.)
- Assist with scheduling and coordination of projects
- Order office supplies and manage office organization
Qualifications:
- 2+ years of bookkeeping experience (construction industry preferred)
- Proficiency in accounting software (QuickBooks or similar)
- Strong organizational and multitasking skills
- Attention to detail and accuracy
- Excellent communication skills
- Ability to work independently and take initiative
Preferred Experience:
- Experience with job costing or construction accounting
- Familiarity with lien waivers, contracts, and permits
- Payroll processing experience
