Position Overview
We are seeking a highly organized, proactive, and experienced Office Manager to oversee the daily clinical and administrative operations of a busy Oral and Maxillofacial Surgery practice. This role is responsible for ensuring efficient workflow, exceptional patient experience, and strong team coordination across both clinical and clerical functions.
Key Responsibilities
Administrative & Clerical Management
- Oversee front office operations including scheduling, patient registration, and check-in/check-out processes
- Oversee insurance verification, pre-authorizations, billing, and collections
- Maintain accurate patient records and ensure compliance with HIPAA regulations
- Oversee accounts payable/receivable, payroll coordination, and financial reporting
- Develop and implement office policies and procedures to improve efficiency
- Serve as the primary point of contact for patient concerns and escalations
Clinical Operations Support
- Coordinate staff schedules and ensure proper coverage
- Ensure operatories are fully equipped and compliant with safety standards
- Work closely with the surgeon and clinical team to optimize patient flow
- Oversee inventory management for clinical supplies and equipment
- Support compliance with OSHA, infection control, and regulatory standards
Team Leadership & Development
- Recruit, train, and supervise administrative and clinical support staff
- Conduct performance evaluations and provide ongoing coaching
- Foster a positive, collaborative, and patient-centered work environment
- Lead team meetings and communicate updates effectively
Qualifications
- Minimum 1–3 years of office management experience in a dental, oral surgery, or medical practice
- Strong knowledge of dental/medical insurance, billing, and coding procedures a plus
- Familiarity with oral surgery workflows and clinical terminology preferred
- Excellent leadership, communication, and organizational skills
- Proficiency in practice management software and Microsoft Office
- Ability to multitask and problem-solve in a fast-paced environment
Preferred Skills
- Experience in oral and maxillofacial surgery practice management
- Knowledge of sedation cases and surgical scheduling coordination
- Strong financial management and reporting skills
Expected hours: 30.0 – 40.0 per week
