The Office Manager will oversee the smooth and efficient day-to-day operations of the real estate office. This role is responsible for managing administrative functions, supporting the real estate team with documentation and compliance, coordinating client-facing services, and ensuring adherence to real estate regulations and company standards.

Key Responsibilities

Office Administration & Operations

  1. Oversee daily office operations, ensuring an organized and professional environment.
  2. Manage office supplies, vendor contracts, and facility maintenance.
  3. Act as the main point of contact for external service providers and suppliers.

Real Estate Documentation & Compliance

  1. Ensure all property files, tenancy agreements, and contracts are accurately maintained.
  2. Handle Ejari registrations, renewals, and related DLD/RERA documentation.
  3. Support agents in preparing MOUs, tenancy contracts, and sales agreements.
  4. Maintain compliance with company policies and UAE real estate regulations.

Team & Client Support

  1. Assist property consultants with listing management, CRM updates, and property portal postings (Bayut, Dubizzle, Property Finder, etc.).
  2. Coordinate with clients for viewings, document collection, and follow-ups.
  3. Manage front desk and provide a professional first point of contact for walk-in clients, calls, and inquiries.

Financial & Reporting

  1. Handle petty cash, invoices, and expense tracking.
  2. Support management with commission tracking, invoicing, and payment follow-ups.
  3. Prepare regular reports on office expenses and operational efficiency.

HR & Administrative Support

  1. Assist with onboarding of new agents/staff, including maintaining licenses and training records.
  2. Maintain employee files, attendance, and leave records.
  3. Organize internal meetings, company events, and staff communications.
