Office Manager/Bookkeeper

Duties

  • Manage daily office operations, including front desk duties, greeting visitors, and handling multi-line phone systems with professionalism and courtesy
  • Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize productivity
  • Maintain accurate financial records using QuickBooks and other accounting software; perform data entry, invoicing, billing, and expense tracking
  • Handle clerical tasks such as filing, proofreading documents, and organizing digital files within Google Workspace and Microsoft Office platforms
  • Provide exceptional customer service by supporting clients, answering inquiries via phone or email, and ensuring positive customer interactions
  • Support medical or dental reception duties as needed, including appointment scheduling and patient check-in processes
  • Assist with administrative tasks like typing correspondence, managing office supplies inventory, and maintaining organized filing systems

Skills

  • Proficiency in QuickBooks for bookkeeping and financial management
  • Strong computer literacy with expertise in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Experience with front desk operations, multi-line phone systems, and phone etiquette
  • Bilingual abilities are a plus to effectively serve diverse clients and team members
  • Demonstrated clerical experience including data entry, filing, proofreading, and calendar management
  • Exceptional customer service skills with a friendly demeanor and professional phone support experience
  • Knowledge of office management best practices combined with personal assistant experience for executive support
  • Strong time management skills to prioritize tasks effectively while maintaining accuracy in bookkeeping duties
