Job Summary:
We are looking for a proactive and detail-oriented Office Operations In-Charge to oversee day-to-day administrative and operational activities in our office. The ideal candidate will come from an FMCG background, with experience in managing office processes, vendor coordination, compliance, logistics support, and overall facility management to ensure smooth and efficient functioning of office operations.
Key Responsibilities:Office & Administrative Operations:
- Manage daily office activities including front office, housekeeping, stationery, and overall upkeep.
- Ensure smooth functioning of all office equipment and infrastructure.
- Coordinate with internal teams (Sales, HR, Finance, Supply Chain) to support their operational needs.
- Oversee office budgets and monitor operational costs.
Vendor & Facility Management:
- Handle relationships with vendors for office supplies, utilities, maintenance, and facility services.
- Negotiate contracts and ensure timely renewals and payments.
- Ensure service level agreements (SLAs) are met for facility services.
Compliance & Documentation:
- Maintain and audit records for licenses, permits, and regulatory compliance as per FMCG standards.
- Ensure adherence to health, safety, and hygiene standards as per company and industry norms.
- Support internal audits and coordinate with the compliance team.
Inventory & Asset Management:
- Maintain stock of office supplies and consumables.
- Track and manage office assets, including issuance and return of IT and office equipment.
- Ensure AMC and servicing schedules are followed.
Coordination & Support:
- Support HR and Admin teams in onboarding new employees and ensuring a functional work environment.
- Liaise with logistics or warehouse teams for local coordination (if co-located).
- Assist in organizing meetings, events, or training sessions within the office.
Key Skills & Competencies:
- Proven experience in office management/operations, preferably in FMCG
- Strong organizational and problem-solving skills
- Proficiency in MS Office (Excel, Word, PowerPoint) and administrative tools
- Vendor management and negotiation skills
- Excellent communication and interpersonal abilities
- Knowledge of workplace safety, hygiene, and compliance standards
- Ability to work independently and manage multiple responsibilities
Educational Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field
- Additional certification in Facility Management, Office Administration, or Operations (preferred)
Preferred Industry Background:
- FMCG companies (personal care, food & beverages, home care, etc.)
- Experience managing branch, plant, or regional office operations is a plus
