Office Secretary

Job Summary
We are seeking a dynamic and highly organized Office Secretary to join our team! Responsibilities

  • Manage front desk operations with professionalism, greeting visitors and handling inquiries with friendly, courteous phone etiquette
  • Operate multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary
  • Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and archived
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) Quick to prepare reports, correspondence, and presentations
  • Handle calendar management for executives or team members, scheduling appointments and coordinating meetings seamlessly
  • Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
  • Provide excellent customer service by supporting client needs, managing appointments, and assisting with general administrative tasks such as copying, faxing, and mailing

Experience

  • Proven office management or administrative experience in a professional environment
  • Strong clerical skills including typing speed and accuracy, proofreading abilities, and data entry proficiency
  • Familiarity with multi-line phone systems, office equipment, and computer literacy is essential
  • Bilingual abilities are highly valued to support diverse client interactions
  • Experience as a dental or medical receptionist or personal assistant is a plus but not required
  • Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Prior customer support experience that highlights excellent communication skills and professionalism
