Job Title: Receptionist(Full-Time)Job Details

• Schedule: Full-Time, Monday through Friday
• Hours: 8:00 AM – 4:30 PM

Key Responsibilities

• Customer Intake & Digital Workflow: Answer incoming phone calls to gather accurate customer and job information and schedule service appointments efficiently. Monitor the online portal and check the company email regularly for incoming job requests.
• Technician Dispatching: Coordinate schedules and dispatch technicians to job sites, ensuring they have the necessary details for their daily routes.
• Billing & Invoicing: Utilize QuickBooks to generate customer invoices, process payments, and assist with basic financial data entry.
• Office Management: Greet the occasional walk-in customer, manage incoming/outgoing mail, and maintain an organized, efficient private office environment.

Qualifications & Skills

• Professionalism: A professional attitude, appearance, and demeanor, understanding that you represent our family business to clients and the community.
• Software Proficiency: Experience or strong comfort level working with QuickBooks and managing email inboxes and online portals/scheduling software.
• Technical Skills: General computer literacy, including professional email communication, and accurate data entry. Professional phone etiquette.
• Communication & Dispatching: Excellent phone manners and communication skills, with the ability to convey clear details to both clients and field technicians.
• Multitasking & Organization: High attention to detail; ability to accurately take down job notes and keep schedules organized.
• Reliability: Dependable attendance and punctuality are essential for our 8:00 AM – 4:30 PM operations.
