Position Overview
We are a growing concrete construction company seeking a reliable and detail-oriented Office/HR Assistant to support our administrative, human resources, and accounting functions. This is a multi-functional role that combines HR support with essential office and financial tasks in a fast-paced construction environment. The ideal candidate is highly organized, proactive, able to handle confidential information, and comfortable managing multiple priorities across employee-related and back-office operations. Key Responsibilities
Human Resources Duties (HR Support):
- Maintain employee personnel files, ensuring all documents are up-to-date, confidential, and compliant with company policies and regulations.
- Enter and process new hire paperwork, including I-9 forms, W-4s, direct deposit authorizations, and other onboarding documentation.
- Assist with employee orientations by preparing materials, scheduling sessions, and guiding new hires through company policies, safety protocols, and benefits enrollment.
- Support benefits administrator by assisting employees with questions, updating enrollment records, and coordinating with benefits providers as needed.
- Assist in the administration and ongoing maintenance of the company’s 401(k) retirement plan, including coordinating enrollments, changes, and terminations with plan providers.
- Ensure accurate and timely processing of employee contributions, loans, and distributions in compliance with plan guidelines and payroll schedules.
Office and Accounting Duties:
- Process vendor invoices, ensuring accuracy, proper coding, and timely payment.
- Manage accounts payable (AP) and accounts receivable (AR) processes
- Assist with payroll processing by entering employee time data, verifying hours, and preparing payroll information for processing.
- Assist in preparing certified payroll reports for public and prevailing wage projects, ensuring compliance with Davis-Bacon Act or other applicable regulations (including tracking classifications, fringes, and submissions).
- Maintain organized filing systems for invoices, receipts, payroll records, and other financial/project documents (both physical and digital)
- Enter credit card transactions and reconcile monthly credit card statements, matching receipts and resolving discrepancies.
- Perform occasional errands, such as picking up supplies, delivering documents, or handling mail runs.
- Provide general office support, including answering phones, greeting visitors, filing, scanning, copying, ordering supplies, and maintaining an organized workspace.
Qualifications and Requirements
- High school diploma or equivalent required; associate's degree in business, HR, or accounting preferred.
- 1–3 years of administrative, office, or bookkeeping experience; construction industry experience is a plus.
- Basic knowledge of HR processes, payroll, and benefits administration.
- Familiarity with certified payroll or prevailing wage reporting is highly desirable.
- Proficiency in Microsoft Office Suite (Excel and Word); experience with accounting software (e.g., QuickBooks, Sage, Viewpoint, or similar construction-specific systems) is a plus.
- Strong attention to detail, excellent organizational skills, and the ability to prioritize tasks in a deadline-driven environment.
- High level of integrity and discretion when handling sensitive employee and financial information.
- Valid driver's license and reliable transportation for occasional errands.
- Ability to work independently as well as part of a small team in a construction office setting.
- Bilingual (English/Spanish) skills are a plus
Preferred Skills
- Understanding of construction industry terminology and requirements (e.g., certified payroll, project-based workforce).
- Experience with HRIS or payroll systems.
- Strong communication skills, both written and verbal.

Pay: $39,000.00 - $45,000.00 per year
